Position Description Summary:

Maintenance Administrative Assistant duties will vary, depending upon the work group they are assigned to. Duties may include any of the following: Assists and provides clerical support, work independently, and handle requests from various departments.

Key Responsibilities:

Maintains all Work Order duties to include closing all work orders on a daily basis; print Work Orders weekly for all contractors;

Updates Maintenance schedule daily on urgent & breaking work orders as well as updating requirement hours;

Reviews work orders vs daily maintenance time sheet and Maintenance schedule to make the hours work add up for matrix purposes;

Maintains and tracks Maintenance OT callout list;

Tracks and organizes vacation schedule for Maintenance hourly craft employees; works with human resources to update payroll schedule and vacation balances;

Other duties as assigned.

Knowledge and Skills:

Proficient with Microsoft Word, Excel, Avantis, and Outlook.

Proficient with the Computer Maintenance Management System software preferred.

Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.

Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

Works independently with minimal supervision and also works as a supportive team member.


High School Diploma or equivalent.

Minimum 3 years' experience in administrative/clerical support for petrochemical industry.

Physical Requirements:

* Seeing: Must be able to read reports and use computer.
* Hearing: Must be able to hear well enough to communicate with co-workers.
* Talking: Must be able to express and exchange ideas by means of spoken words.
* Sitting: Must be able to sit for extended periods of time.
* Standing/Walking/Mobility: Must be able to stand to open files and operate office machines. Must maintain mobility between departments and to attend meetings of employees and managers.
* Bending/Reaching/Climbing/Stooping/Kneeling: Must be able to bend, reach, or stoop to obtain office supplies and operate office equipment.
* Lifting/Pulling/Pushing: Light physical effort under 10 pounds.
* Fingering/Grasping/Feeling: Major portions of daily work require application of manual skills involving motor coordination and finger dexterity.

Work Environment:

Work is typically performed in a regular office setting. Minimal exposure to adverse conditions.

High School Diploma or equivalent.

Minimum 3 years' experience in administrative/clerical support for petrochemical industry.
